  • Overview

    Performs a wide range of office and administrative support for the VP of Logistics and the Director of Distribution to facilitate the efficient operation of the distribution

    department to include various office tasks and responsibilities for the collection, entry and organization of all metric results and distributes for review.


    Assists all management in the collection and entry of all data as it pertains to the metrics for the Distribution Center and communicates results. Maintains various reports.  Prepare various documents for execution and draft documents for communications as needed. Track and report shipments and transportation and/or warehouse issues.  Mail/ship various documents to include scanning a copy of all such documents and tracking the delivery of such documents. Verify appropriate signatures for purchase orders prior to getting necessary approval. Scan and upload, to the appropriate electronic file/software, various documents, contracts and or agreements. File various documents to the appropriate paper file and maintain those files in the established format.  Develop and maintain a system for tracking relevant meetings and agendas. Support the VP of Logistics and Director of Distribution with timely meeting reminders, recording of minutes and distribution material. Perform administrative tasks such as photo copying/filing. Create and maintain a binder of administrative tasks and procedures. Distributes all information needed to responsible parties in the distribution center, as directed by the Vice- President of Logistics and Director of Distribution. Uses various office machines and software tools in the performance of duties to include phone, copier, scanner, Microsoft Office Word and Excel and Warehouse Management systems. Coordinate special product requirements and allocation needs with various groups. Cross train and/or assist with other DC office functions, as directed. Examples may include timekeeper role for payroll process, maintain consumable supplies, cycle count record keeping. Must maintain full confidentiality of all office activities including confidential filing. Protect the company’s assets and financial information by ensuring the accuracy and effectiveness of internal control procedures, and informing management and/or appropriate officials of potential fraud risk. Performs other distribution duties as assigned.

    Associate's degree (A.A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience preferred. High school diploma is required. Familiarity with Distribution processes is highly preferred. Must possess good interpersonal and communication skills.
